Privacy Policy for Yoga Vitality Northeast

1. Who I Am

I am Madeleine Hill, a yoga teacher based in Gateshead. I offer group and private yoga sessions.

2. What Personal Data I Collect

I may collect and process the following personal data:

• Contact details: name, email address, phone number
• Payment  details: where applicable, for processing class fees, using third      party providers (see below for further details)
• Attendance  records: for class management and safety

3. How I Use Your Data

I use your data to:

• Communicate  with you about classes, bookings, and updates
• Ensure your safety during sessions
• Process payments and manage bookings
• Comply with legal obligations
• Marketing  communications (only when prior consent is given, with the right to opt  out at any time)

4. Legal Basis for Processing

I process your data under the following lawful bases:

• Consent: for marketing communications
• Contract: to provide yoga services you’ve requested
• Legal  obligation: for accounting and tax purposes
• Legitimate interest: to manage and improve my services

5. How I Store Your Data

Your data is stored securely on password-protected devices and reputable cloud services. All devices used for the purposes of the business have appropriate antivirus software. Where possible, multifactor authentication is used. I retain your data only as long as necessary for the purposes outlined above. 

6. Sharing Your Data

I do not sell or share your data with third parties except:

• Use of payment processors 
• Use of online class booking systems 
• Service  communications/booking confirmations and reminders via email and SMS
• Contact/messages  via the website yogavitality.co.uk are redirected to yogavitality@outlook.com by Go      Daddy
• Marketing/mailing  list communications via email
• Legal obligations

The third-party providers that I use to enable me to provide services are: - 

PayPal and Square for online payment system

Square and Go Daddy for online booking system

Square, Go Daddy and Microsoft for marketing and communication

Go Daddy for the domain yogavitality.co.uk and the linked website

The privacy statements for these organisations are available on their websites.

7. Data retention

Emails that are no longer required for the reasons outlined in this policy will be deleted every 6 months.

Once consent is given, you will remain subscribed to the mailing list until you withdraw consent.

Where there is a legal requirement to retain data, this will be done until all legal obligations have been fully met, including record retention for HMRC, for example. After this point, data will be deleted.

Under GDPR, you have the right to:

• Access  your data.
• Correct  inaccurate data
• Request  deletion of your data
• Withdraw  consent at any time
• Lodge  a complaint with the ICO (Information Commissioner’s Office)
